Introduction

GetPaidFirst is operated by VativeSky Solutions, LLC ("we," "us," or "our"). This Privacy Policy explains what information we collect when you use GetPaidFirst.ai (the "Service"), how we use it, who we share it with, and the choices you have.

By creating an account or using the Service, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Service.

What We Collect

Account information

When you sign up, we collect your email address and password. You may also provide your full name, business name, phone number, website URL, and brand logo. This information is stored in your user profile and used to personalize your proposals, invoices, and outgoing emails.

Proposal and invoice content

We store the meeting notes you paste into the Service, the proposals generated from those notes, and all associated invoice and payment records. This content is stored in our database so you can access, edit, send, and manage it.

Payment information

All payment processing is handled by Stripe. We do not store credit card numbers, bank account details, or other sensitive financial information on our servers. We receive and store transaction metadata from Stripe, including payment status, amounts, and Stripe identifiers. If you connect a Stripe Express account for freelancer payouts, Stripe collects and manages your banking details directly.

Usage and analytics data

We collect custom analytics events to understand how the Service is used. These include events such as proposal views, checkout starts, and payment completions. We record the event type, timestamp, and associated resource identifiers. We do not use third-party analytics or advertising trackers.

Uploaded files

You may upload a business logo to customize your proposals and invoices. Uploaded images are stored securely and associated with your account.

How We Use Artificial Intelligence

GetPaidFirst uses Anthropic's Claude language model to generate proposals from your meeting notes and to draft invoice reminder (chase) emails. When you create a proposal, the meeting notes you provide are sent to Anthropic's API for processing. The generated proposal text is returned to us and stored in your account.

Anthropic processes this data according to their Privacy Policy. Anthropic does not use data submitted through their API to train their models.

We do not send your payment details, passwords, or banking information to any AI service. Only proposal-related content (meeting notes, client names, project descriptions, line items) is transmitted for generation purposes.

How We Use Your Data

We use the information we collect to:

• Provide, maintain, and improve the Service
• Generate AI-assisted proposals from your meeting notes
• Send proposals and invoices to your clients on your behalf
• Send invoice reminder emails on your behalf (if auto-chase is enabled)
• Process payments through Stripe and facilitate freelancer payouts
• Send transactional emails related to your account (password resets, receipts, lifecycle updates)
• Monitor and analyze usage patterns to improve the product
• Enforce our Terms of Service and prevent abuse

We do not sell your personal information. We do not use your data for advertising. We do not share your data with third parties for their own marketing purposes.

Third-Party Services

We use trusted third-party providers for payment processing, email delivery, AI-powered features, and infrastructure hosting. These providers may process your data in accordance with their own privacy policies. We do not sell your data to any third party.

Payment processing is handled by Stripe. All sensitive payment information (card numbers, bank details) is collected and stored by Stripe directly — we never see or store this data.

Proposal generation uses AI technology. When you generate a proposal, your meeting notes are sent to our AI provider for processing. Your content is not used to train AI models.

Cookies

GetPaidFirst uses only essential, functional cookies required for authentication. Specifically, we set two httpOnly cookies:

• sb-access-token — A short-lived session token used to authenticate your requests
• sb-refresh-token — A longer-lived token used to renew your session

These cookies are httpOnly (not accessible to JavaScript), secure (transmitted only over HTTPS), and strictly necessary for the Service to function. We do not use tracking cookies, advertising cookies, or any third-party cookie-based analytics.

Data Retention

We retain your account data, proposals, invoices, and payment records for as long as your account is active. This data is necessary to provide the Service and for your own record-keeping purposes.

If you delete your account, we will delete your personal data within 30 days. Some data may be retained longer if required by law (for example, financial transaction records may be retained for tax and compliance purposes for up to 7 years).

Analytics event data is retained in aggregate form and is not linked to individual accounts after deletion.

Your Rights

You have the right to:

• Access the personal data we hold about you
• Correct inaccurate information in your account
• Export your proposals, invoices, and account data
• Delete your account and associated personal data
• Object to certain processing activities

Data Security

We implement reasonable technical and organizational measures to protect your data. All data is transmitted over HTTPS/TLS encryption. Passwords are hashed and never stored in plain text. Our database uses row-level security policies to isolate user data. Authentication tokens are stored in httpOnly cookies to prevent cross-site scripting attacks.

No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

Children's Privacy

GetPaidFirst is designed for business use by freelancers, agencies, and their clients. The Service is not intended for individuals under 18 years of age. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal data, please contact us at hello@getpaidfirst.ai and we will promptly delete it.

California Residents (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights regarding your personal information:

• Right to know what personal information we collect, use, and disclose
• Right to delete your personal information
• Right to opt out of the sale of your personal information (we do not sell personal information)
• Right to non-discrimination for exercising your privacy rights

If you are located in the European Economic Area (EEA) or the United Kingdom, you have additional rights under the General Data Protection Regulation (GDPR):

• Data portability: You can request a machine-readable copy of your data.
• Right to erasure: You can request deletion of your personal data.
• International transfers: Your data is stored and processed in the United States. By using the Service, you consent to this transfer. We rely on standard contractual clauses where required.
